RefugePoint was founded in 2005 to provide lasting solutions for the world’s most vulnerable refugees. We work to fill the critical and unmet needs of people affected by war and conflict that have fallen through the net of humanitarian assistance, in particular women, children and urban refugees.

The Logistics Associate is tasked with overseeing and facilitating logistical and administrative operations at RefugePoint.

  1. Logistics Support
  • Assist in identifying venues for organizations’ activities in addition to coordinating the activities and ground transportation;
  • Assist in arranging temporary lodging, air transport, communication, and ground travel logistics for Boston staff, Experts, donors and/or other guests as may be required;
  • Support mission outreaches to help ensure smooth functioning of administrative functions including but not limited to handling payments at the field;
  • Periodically review facilities in use for accommodation versus upcoming accommodation options in the vicinity to ensure continued best value for money.
  1. UNCP Program Support
  • In collaboration with the HR and Admin Officer, act in a supporting role for Experts in regard to research into visa requirements, communication with Experts, and receiving UNHCR offices;
  • Ensure efficient management of flight bookings and accommodation for the Experts both in-country for orientation, with receiving UNHCR offices, and at the end of deployment or employment;
  • Ensure relevant start of deployment forms, detailing relevant contact information and logistical support available, are requested from UNHCR receiving offices and shared with Experts in a timely fashion;
  • Ensure United Nations Department of Safety and Security (UNDSS) clearances are requested for all new Experts prior to travel to the duty station;
  • Work with Experts to ensure that Start of Deployment Resource Checklists are completed consistently within a month of arrival in new duty stations.
  1. Procurement Support
  • Monitor stock levels and place orders as needed by creating and maintaining inventory of all incoming and current supplies;
  • Maintain and update list of suppliers and their qualifications, delivery times;
  • Work with Senior Officer, Administration in sourcing for vendors,  negotiating and evaluating the best package in terms of quality, price, terms, deliveries and after sales services;
  1. Admin Support
  • Provide coverage at the Front Office as requested.
  1. Documentation and Reporting
  • In close collaboration with the Senior Manager, HR & Regional Program,  document best practices for logistics;
  • In conjunction with Finance, establish and maintain a logical filing system for logistical matters.
  1. Other duties as assigned

Minimum Requirements

  • Degree qualification or above in Logistics, Operations, Business, or any other related disciplines;
  • At least one year experience working in a similar capacity; preferably in a NGO/INGO;
  • Fluency in Kiswahili and English;
  • Demonstrated proficiency in working with Microsoft packages in addition to Dropbox, Google Drive etc;

Desired Qualifications:

  • Fluency in French will be an added advantage;
  • Ability to work under minimum supervision.

Special Requirements:

  • Current Police Clearance Certificate.
